Innotec Supplies empowers field sales operation with M-POS implementation

The implementation of the mobile field sales solution supports Innotec’s drive and commitment to be innovative when considering customer service initiatives and its readiness to embrace new technologies. The system will also pay for itself in less than 24 months by removing all order paperwork from the sales order process and substantially reducing order to invoice time, freeing up administration staff and improving cash flow.

Sales Representatives support their customer meetings using the M-POS system, complete their orders and send them to the office in real time. So there is no longer any need for order paperwork to be returned to the office meaning that customers’ orders can be dispatched the same day and invoiced immediately. To further streamline processes, the M-POS software is fully integrated to Innotec’s Sage accounting system. 

Operations Manager, Emma Thompson-Murrell comments, “Before we implemented the M-POS system, in-field orders were telephoned straight to the office for next day delivery. However, with the sales reps covering the whole of the UK, it could often take a number of days for the required paperwork to be returned to the office for invoicing. Our average order to invoice time has now reduced from seven days to just 24 hours which has had a hugely positive effect on our cash flow. So much so that the system was self funding within two years and will pay for itself several times over, year after year.”

Emma also comments on the increased efficiencies within the office, “To support the field sales representatives, we previously employed two full time staff who were responsible for re-entering orders into Sage and managing customer order queries and invoicing disputes. With the installation of the M-POS system, invoices can be produced immediately and emailed to the customer for payment; and with the ability to instantly recall and view past orders (along with the customer’s signature captured electronically) within the system, there are far fewer queries and disputes. This has allowed the office staff to be redeployed into other areas of the business, further improving productivity”.

As a manufacturer of techno-chemical solutions, the team at Innotec constantly endeavour to find ways in which they can counterbalance the effect that the business has on the environment; a large amount of the waste paper from the offices is shredded and used in the warehouse for product packaging and all vehicles have recently been upgraded to more fuel-efficient, environmentally-friendly models. The introduction of the mobile data system has continued to support this cause, eliminating the need for triplicate order books and substantially reducing the amount of order and administrative paperwork and printing thus further reducing the effect on the environment.

Emma comments on the reasons for selecting Mobile Enterprise Systems; “During the selection process, we explored a number of different systems from numerous suppliers but none of the competing systems could demonstrate the high level of flexibility and intuitiveness of the M-POS software. The reporting capabilities were also far greater within the M-POS system than in any of the other applications that we considered”.
